FROM PARTICIPANT COUNT TO ITEM LIST

Prepare supplies for the activity you are running.

A useful workshop supply brief starts with attendance assumptions: participants, facilitators, organizers and spare materials. State whether supplies are provided individually, placed at registration or used collectively in the room.

Possible sourcing discussions include notebooks, pens, folders, printed handouts, name badges, flip charts, markers, display materials and selected equipment. Refreshments or ancillary goods can be discussed separately where sourcing arrangements permit.

OpsCore is offering requirements-based sourcing and supply coordination; this page does not promise venue management, in-house printing facilities or stock availability.

Illustrative workshop supply list

  • Participant notebooks, pens and folders
  • Agenda, handouts, certificates and forms
  • Badges, registration materials and signage
  • Flip charts, markers and presentation accessories
  • Packaging and distribution by venue or session
  • Optional refreshments and related goods, if arranged

A BETTER ACTIVITY RFQ

Five details that shape the quotation.

Providing a complete brief reduces clarification cycles when the event date is approaching.

Participants & quantities

Provide total participants, staff numbers, kit contents per person and a separately specified spare allowance.

Artwork & print specifications

Describe page counts, paper size, colour, binding and approved artwork; do not send confidential participant data in an initial public inquiry.

Dates & locations

Provide event dates, required delivery time, site access, receiving contact and any multiple-venue allocation.

FOR NGOS, BUSINESSES & INSTITUTIONS

Separate supply requirements from the procurement process.

NGOs and institutional buyers may require their own quotation format, applicable tax documents, delivery notes or approvals. State those requirements in the RFQ. OpsCore can review the requested supply scope without implying endorsement, donor association or prequalification by any organization.

If the activity also needs transport, provide a separate route and passenger brief through organizational transport arrangements. For ongoing office needs, visit office and institutional supplies; for multi-category purchasing, see general order supply.

Check before approving

  • Confirm each kit component and printed proof
  • Review packaging and venue-wise allocations
  • Agree a delivery and acceptance date
  • Confirm pricing, taxes and applicable terms
